How to Format a Project Report for Printing — Step-by-Step Guide
Why Formatting Matters Before You Print
A project report with excellent research can look amateurish if the formatting is inconsistent or incorrectly set up for printing. Pages with text running into the binding margin, inconsistent font sizes, missing page numbers, or incorrectly ordered sections reflect poorly on the work — and can cost marks in institutions that grade on presentation.

Step 1: Set Up Your Page Layout
Before you write a single sentence, configure your document settings.

Line Spacing

Step 4: Design Your Cover Page
The cover page (title page) is the first thing seen. It should include:
Required elements:
- Full title of the project (centered, 16-18pt, bold)
- "A Project Report submitted in partial fulfilment of the requirements for the degree of [Degree Name]" (or equivalent)
- Your full name and roll/enrollment number
- Names of your project team members (if applicable)
- Name of your supervisor / guide
- Department name
- College / University name
- Month and Year of submission
Optional but professional:
- College logo (centered, above the title)
- Department logo
Formatting tip: Use consistent spacing between elements. Center everything on the page. Avoid using clip art or decorative borders — they look unprofessional.
Step 5: Handle Figures and Tables
Poorly formatted figures and tables are a common formatting mistake.
Figures
- Number sequentially by chapter: Figure 1.1, Figure 1.2, Figure 2.1, etc.
- Caption below the figure: "Figure 2.1: System Architecture Diagram"
- Refer to every figure in the text before it appears: "...as shown in Figure 2.1"
- Minimum resolution: 300 DPI for printed output
- Color figures: check if color printing is in your budget; if not, ensure they are readable in B&W
Tables
- Number sequentially by chapter: Table 1.1, Table 2.1, etc.
- Title above the table: "Table 3.2: Comparison of Algorithms"
- Refer to every table in the text
- Avoid tables wider than the page margins — split across pages if needed, or use landscape orientation for that page only
Step 6: Page Numbers
- Front matter (title page onward before Chapter 1): Roman numerals (i, ii, iii...)
- Title page: no visible page number (but count it as page i in the sequence)
- Main body (from Chapter 1 onward): Arabic numerals (1, 2, 3...)
- Position: typically bottom center or bottom right
In Microsoft Word, use Section Breaks to have different page number formats in front matter vs main body.
Step 7: Generate Your Final PDF
Before sending to print:
- Use File > Save As > PDF (Word) or File > Download > PDF (Google Docs)
- Ensure fonts are embedded in the PDF
- Open the PDF on a different device and verify it looks correct
- Count the total pages and compare with your word processor's count
- Check that all images appear correctly and have not disappeared
